The conference fee is either $275 or $375 depending on a participant’s desired accommodations. The $275 fee will provide air-conditioned, resident housing for 8 participants per room with bathroom facilities. (All resident housing was remodeled in 2002.) The $375 fee will provide air-conditioned, standard hotel housing for 2 participants per room with a private bathroom.
All conference fees (youth and adult) are due by May 31, 2003 (postmark date). Conference fees paid after May 31, 2003 will be either $325 or $425 depending on a participant’s chosen accommodations. The fee includes 5 night’s housing, 14 meals, program and support materials, and recognition items during the six-day conference. The fee is payable in the following manner:
For the 2003 Indian Summer Conference, each lodge will be allowed 10 delegates. (A council with multiple lodges will only be allowed 10 delegates.) A lodge contingent may have no more than 3 adults, 21 years of age or older, attend the conference.
All lodges will have until March 1, 2003 (postmark date) to use there allotted number of delegates (10). If additional conference spaces are available after March 1st, those spaces will be released to other lodges on a first-come, first-serve basis only.
To secure the youth and adult spaces desired, each lodge must complete the enclosed Lodge Contingent Reservation form accompanied with a nonrefundable $100 per participant reservation deposit. No individual reservations will be accepted. All lodge reservations must be transmitted through the local council office and accompanied by a transmittal form.
Encourage adult Arrowmen in your lodge to establish a special fund to help youth members attend the Indian Summer Conference. Your lodge and Scouting will benefit for years to come.
The OA Director must receive all Indian Summer participant fees no later than June 30, 2003.
The $100 per person deposit is transferable to a substitute within the same lodge on a one-for-one basis, but it is nonrefundable, and may not be applied to the balance due for another person. Deposits may only be transferred from youth to youth or from adult to adult.
